– OT Eligible Position Details: Summary of Duties: The Assessment Specialist will plan, organize, and coordinate operations for the Assessment program by supporting faculty in the design, development and delivery of the medical school curriculum based upon best practices.

The incumbent will support faculty and administration with course design and instructional approaches to ensure students meet desired learning outcomes.

This work will include the editing, analyzing, interpreting, and monitoring of both the curriculum and the program of student assessment to ensure alignment that optimizes student learning. The incumbent will work closely with faculty, staff, and clinical campus locations to ensure all aspects of the MD Program (curriculum and assessment) are coordinated consistently across the distributed campuses and clinical locations, including schedules, Learning Management System, and Curriculum Management systems (LMS & CMS). This position will use a portfolio based assessment approach to specifically support the Workplace-based assessments and clinical assessments across all four years of the curriculum , ensuring compliance with WSU and LCME standards and regulations per FERPA. Duties and Responsibilities: 40% Strategic Clinical Faculty Assessment Leadership (Design, Development and Delivery)
• Assist faculty and course teams with the design, development, and execution of all clinical assessments used in the MD Program.

Assessments may include workplace-based assessments, clinically-relevant assignments, patient logs, portfolio items, and Objective Structured Clinical Examinations (OSCEs).
• Develop the clinical skills assessment instruments based on the entrustable professional activities, design the instrument forms and build into the EFlo platform.
• Assist faculty with the design, development, and modification of clinical assessments, assignments, and assessment rubrics to ensure accurate information is used to assign grades.
• Supports the design and development of assessment instruments used for direct observations of clinical skills in the workplace to ensure alignment between the curriculum delivered and assessment for and of learning.
• Support course teams in the implementation of CQI efforts based on course and teacher evaluations.
• Orient faculty to the types and appropriate use of assessment methods, and the alignment between assessment and curriculum.

Work closely with the Year 3/4 Assessment and Learning Design specialist to determine and provide guidance to faculty in assessment methods most appropriate for the learning objectives being taught/competency being measured.
• Work with the Assessment and Learning Design specialists and the data analysts to update and share among stakeholders a dashboard of cohort performance within the course and individual student dashboards that display students’ learning trajectories and progress in the course.
• Under the guidance of the Assessment and Learning Design specialist, provide feedback to students related to their progress toward meeting the course requirements and provide guidance regarding their learning trajectories.
• Support the development and training for faculty regarding the assessment frameworks and how the assessments factor into student grades.
• Collaborate with Course Directors to obtain information required to build out and distribute student assignments and assessments into the Learning Management System.

Identify and ensure all required information is obtained.
• Collaborate with the Curriculum Specialists in the Office of Curriculum to ensure alignment between instructional curriculum and assessment, and the management of outcomes for all courses.
• Support the development and delivery of OSCEs to ensure standardization of the assessment experience.

Assist in the design and development of assessment tools utilized for OSCEs.
• Review and create clear and concise professional communications sent to clinical faculty and external stakeholders.

External stakeholders may include clinicians at hospitals and colleges across the United States.
• Plan, schedule, organize and support faculty meetings and trainings.
• Provide information to faculty on accessing assessment forms through the learning management system by sharing web links; provide assistance with passwords and preceptor codes.
• Support the faculty in troubleshooting issues as required and provide technology training and support as needed.
• Protect student private information and serve as a role model for assuring student confidentiality.
• Participate in all efforts to support the College’s mission to continuously improve the MD Program via guidance to faculty and other stakeholders. 25% Assessment Administration
• Monitor and analyze students’ learning experience and outcome results and report out to all stakeholders on the achievement of these learning experiences and outcomes.
• Utilizing the E-Flo Learning Management System (LMS), create and coordinate the release and collection of assessments (work-place based assessments and clinical performance-based assessments) for all longitudinal elements across the 4 years.

This includes coordination and support provided to faculty and course directors to distribute instructions and student assignments and assessments.
• Independently develop and create reports necessary for student portfolios, mid-course, and end-of course reports for the students’ official university record.

Export and upload reports to Students’ Portfolios in the Learning Management System.
• Track and monitor student enrollment in years 3 and 4 courses, ensuring timely submission of grades and transcripts.
• Maintain records and inventory of assessment information and grades, and compose written communications on behalf of the Course Directors and the Assessment Office.

Utilize various software, such as National Board of Medical Education, Secure Exam Browser, etc., to obtain, distribute, and monitor completion of student exams.
• Coordinate meetings and trainings for course directors and any faculty assessing students across all 4 years of the MD program.
• Create, organize, and manage print and digital files in collaboration with the Curriculum and Accreditation Analyst.
• Attend meetings as the Clinical Assessment Specialist representative.

Disseminate information from meetings to appropriate Assessment Office individuals.
• Manage multiple calendars and maintain complex scheduling for both students and faculty.
• Provide administrative support for subcommittee meetings; schedule meetings and record minutes. 20% Student Grades and Education Records Management
• Ensure the validity of all assessment instruments used and coordinate the assessment approach, including the execution, creation, and enhancement of appropriate procedures to deliver the program of assessment.
• Track, monitor, and record student participation in formal academic assignments and assessments, including but not limited to WBAs, OSCEs, etc.

Identify and follow up on students experiencing academic difficulties and incomplete or missing assignments or assessment items.
• Prepare, edit, review, and publish documents or other session-related materials including manuals and assessment instruments and rubrics.
• Prepare, disseminate, update, and track documentation related to student progress in longitudinal elements across the 4 years.
• Provide support to the Year 3 & 4 Assessment & Learning Design specialist to facilitate the management of educational records, support the process of submitting grades and support the records required for the Student Promotions, Evaluation and Awards Committee (SPEAC) work.
• Accurately summarize the status of each student’s progress within courses and identify gaps in assignments or progress.
• Track professionalism concerns that arise for students and communicate patterns identified to appropriate Assessment and Student Affairs personnel.
• Monitor Student Affairs approved absences and how they impact student testing, assessments, and completion of assignments. 10% Compliance and Quality Assurance
• Collaborate with Clinical Education Directors and Associate Deans for Clinical Education to provide support related to the quality assurance of the course and assessment methods.
• Track, evaluate, and report back to faculty and course teams on course outcomes.

Use reporting and data analytic tools to provide course directors with dashboards to monitor the performance of courses.

Provide suggestions for improvement of curriculum and assessment methods.
• Conduct all responsibilities within established protocols per FERPA.

Promptly report any concerns to appropriate parties.
• Execute established process flows, identify areas of improvement, and implement changes as needed to ensure consistency with Accreditation requirements and assessment program goals.

Make recommendations to resolve inconsistencies.
• Evaluate concerns not addressed by established procedures and identify recommendations for alternative actions.
• Make recommendations to program leadership for approval and implementation.
• Develop, maintain, and enhance reports required to the AAMC, College, University, and other stakeholders.

Provide report to Accreditation and Assessment leadership for review and approval prior to submission.
• Manage assessment program compliance by tracking the completion of forms and following up on missing, incomplete, or improperly completed forms to ensure accurate and comprehensive records.
