Description: Our Spokane, WA office has an exciting opportunity for an Office Administrator. In this role you will serve as the key point of contact for our customers, employees and guests/clients. Essential duties and responsibilities may include, but are not limited to, the following: Using the accounting software Great Plains the office administrator opens new jobs, sets up change orders, appropriately bills or invoices clients for work completed and closes jobs for final disposition Accounts Payable processing and issuance of Purchase Orders Issuance of project and service account billings and follow up on accounts receivables Manage/ update Intents of Lien, Affidavits, Compliance Depot, Pinnacle, Greystar, W9, Service Agreement information Preparation of submittals and O&M manuals Manages paper flow of work orders from National Accounts and assists with dispatching technicians to job locations for timely completion of work at job site Format and word process complex documents, reports and contracts, spreadsheets, graphics and other diverse content Entering Payroll/ Certified Payroll through various portals, excel and word documents Other duties as assignedDesired Skills and Experience: AA or college degree (Preferred) or equivalent experience Three (3) or more years’ experience in an administrative or office manager role working in the construction industry Previous experience using project accounting software required, experience with Great Plains software a plus Must be able to work Monday through Friday 7:00 a.m. to 4:00 p.m. Must be positive, flexible, reliable, responsive, self-motivated, able to multi-task and work both independently and in a team environment, and under deadline pressures Strong attention to detail and excellent organizational skills required Good written and verbal communication skills required Candidate will be proficient in Microsoft Word, Excel, Outlook, and Power PointCosco provides excellent wages and company benefits to qualified applicants.
