Warehouse Office Coordinator

Job Description
Administrative
– Respond to and direct incoming call inquiries and reception coverage for warehouse.

Ordering and maintenance of department office supplies.

Sorts and processing of company mail, UPS, DHL & Fed-Ex.

Maintains and updates filing system for Warehouse.

Review incoming correspondence and compose responses as appropriate.

Coordinate and participate in department meetings or conference calls, maintain and report minutes of meetings.

Makes travel arrangements for Warehouse Manager.

Internal Controls and Compliance
– Understand and adhere to Safeway’s internal control procedures and accounting policies.

Process department payroll for hourly employees
Employee Records Management
– Coordinate hiring process for warehouse which is inclusive of posting open hourly positions, forwarding resumes to hiring manager, manage pre-employment testing which includes drug screen, background check and agility testing, create offer letter, and process personnel transactions in HR database.

Track and file confidential personnel information regarding corrective actions, performance appraisals and leave of absences.

Reports
– Run and distribute department reports and correspondence for warehouses and transportation.

Maintain attendance tracking reports for hourly employees.

Maintain training records for warehouse staff.

Track additional items/reports as directed.

Financials
– prepare department confidential period close, cascading financials and quarterly financial reports.

Timely and accurate bill coding, processing and filing.
