We are fast paced, highly collaborative, and, flexible work environment.The Executive Administrator to the Head of Staging will manage the day-to-day administrative responsibilities inclusive of but not limited to:Calendar management, coordinating meetings, notating, aligning leadership team logistics, booking travel, organizing expenses, follow-through, communication on behalf of the Head of Staging, and project management.

As the right-hand to the Head of Staging, the Executive Administrator will operate with the utmost discretion while working with confidential information, ensuring impeccable attention to detail, organizational skills and thoroughness.

The EA will manage strategic meeting planning and calendar synchronization for the staging team.

In constant communication with both internal leadership as well as external partners and clients, the Executive Administrator will represent the Head of Staging and the brand with professionalism and a high-level of service.Position ResponsibilitiesPrioritize, maintain, and manage email inboxes and calendars for the Head of StagingProvide meeting support through booking and preparing meetings (a hybrid of in-office and remote), taking notes, setting up video conferences/phone calls, and providing follow up and action items after meetingsCoordinate international and domestic travel logistics including flight itineraries, hotel reservations, and car services in accordance with personal travel preferences on as needed basisExecute day-to-day administrative tasks including organizing documents, arranging deliveries, processing expenses and updating contactsTrack and submit reports for the staging business organizationPartner with the Head of Staging on key meetings (e.g., Leadership Meetings, Team Meetings, All Hands)
– setting agendas, preparing materials, and sending out recapsCreate systems to maximize productivity for the Staging team, enabling them to do their best workFollow through on open deliveries due to the Head of Staging to ensure that deadlines are being metServe as the Head of Staging’s representative when their attendance is not possible due to travel, holiday, or otherwiseSkills and Experience2 years of administrative support within a fast-paced organization (experience in a design and/or creative-led environment is a plus)Ability to prioritize effectively in a fast-paced environment Excellent written and verbal communication skillsPositive attitude, self-directed, assertive, and able to manage upCareful attention to detail and follow-through AttributesNatural communicator
